Grief — Two Weeks After a Death
Sent after the initial wave of support has passed, when the silence sets in
Dear [ Name ],
It has now been about two weeks since [ Name of the one you lost ] went home to be with the Lord. I wanted you to know that you are still very much on my heart and in my prayers.
The first days after a loss are often filled with people, activity, and the necessary business of grief. But I have found that it is often around this time — when the calls grow quieter and the casseroles have stopped coming — that the weight of loss settles in most fully. If that is where you find yourself right now, please know that is a very normal part of grief, and you do not have to carry it alone.
I have been praying for you specifically — that God would meet you in the quiet moments, that He would bring comfort where only He can reach, and that the truth of His Word would be an anchor for your heart in this season. The Psalmist wrote, "The Lord is near to the brokenhearted and saves the crushed in spirit" (Psalm 34:18, ESV). That is not a distant promise — it is a present reality for you today.
[ Optional: one sentence — a memory of the deceased, something shared at the service, or a quality you observed in them ]
I want you to know that my door is always open. Please do not hesitate to call or reach out if you simply need someone to talk to, pray with, or sit with. That is exactly what I am here for.
With love and prayers,
Pastor John Crowder

Pastoral notes
Best timing: 10–16 days after the funeral, before the one-month mark.
The optional personal memory field is what transforms this from a form letter into genuine pastoral care — don't skip it when possible.
A handwritten note or card alongside the printed letter significantly increases its impact.
Illness or Health Crisis
For a serious diagnosis, extended illness, or hospitalization
Dear [ Name ],
I have been thinking about you and wanted to take a moment to write and let you know that you are not walking through this season alone. When I learned about [ what you are facing ], my first response was to pray — and I have continued to do so every day since.
Illness has a way of stripping away a great deal of what we normally depend on, and that can be disorienting. But I have watched many people walk through great physical difficulty, and what I have seen again and again is that God does not abandon His children in the valley — He goes there with them. The promise is not that we will be spared the hard road, but that we will not walk it alone.
I want you to hold onto this: "Fear not, for I am with you; be not dismayed, for I am your God; I will strengthen you, I will help you, I will uphold you with my righteous right hand" (Isaiah 41:10, ESV).
[ Optional: one personal sentence — their strong faith, something you have observed about them, or a specific prayer you are lifting for them ]
Please do not hesitate to let me know if there is anything I can do — whether that means a visit, a phone call, prayer with your family, or simply being present with you. It is a privilege, not a burden, to walk through this with you.
Trusting Him with you,
Pastor John Crowder

Pastoral notes
Adjust tone and scripture for acute illness vs. long-term chronic condition — the latter may warrant more emphasis on endurance.
Consider sending a second version to the immediate family caregiver — they are often overlooked.
Follow with a phone call within a few days of the letter arriving.
New Member Welcome
Sent within a week of someone joining the church
Dear [ Name ],
On behalf of our entire church family at First Baptist Church West, I want to welcome you — truly and warmly. What happened on Sunday was not just a formality. It was a declaration, and we are grateful that God brought you to us.
FBC West is a family. We are imperfect people who love God, love each other, and are doing our best to be faithful to what He has called us to here in West, Texas. You are now part of that family, and I mean that in the deepest sense. The church is not a place you attend; it is a people you belong to — and you now belong to us, and we to you.
[ Optional: a personal note — how they came to join, something you know about their story, a family note if applicable ]
I want you to know that my door is genuinely open. If you have questions, if you need pastoral guidance, or if you simply want to connect, please reach out. There is no such thing as bothering me. That is what I am here for.
We are also in the middle of an exciting chapter as a church — we are preparing to build a new facility so that we can continue to grow as a family, reach the lost, and leave something lasting for the next generation. You have joined us at a great moment, and I believe you are here for a reason.
Welcome home.
With joy,

Major Accomplishment
Graduation, promotion, milestone, or personal achievement
Dear [ Name ],
I wanted to take a moment to write and tell you how proud I am of you. [ The accomplishment ] is no small thing — it represents real work, real perseverance, and real character. I have watched you along the way, and it has been a genuine joy.
I also want to make sure I say something that I hope you will carry with you: what you have accomplished reflects not only your own effort, but the gifts God placed in you and the grace He has sustained you with. This is a moment to celebrate — and also a moment to pause and give thanks to the One who gave you the ability to do what you just did.
[ Optional: something specific — a sacrifice they made, an obstacle they overcame, a quality of character that stood out ]
I believe God has more in store for you, and I am excited to watch what He does next. "For we are his workmanship, created in Christ Jesus for good works, which God prepared beforehand, that we should walk in them" (Ephesians 2:10, ESV). That verse was written about you.
Congratulations. It is well deserved.
With great pride and affection,

Timing matters — send within a week of the event for maximum impact.
For young people, consider a slightly warmer, more forward-looking closing paragraph.
This letter works especially well for members who rarely receive public recognition — quiet faithfulness often goes uncelebrated.
